Friends of Coltishall Primary School (FoCPS)

Friends of Coltishall Primary School raises funds to support resources, experiences and opportunities that enrich pupils’ education, wellbeing and inclusion. We are an independent registered charity. Our funds are separate from the school budget, and our trustees are responsible for deciding how they are used.
What we support:

Class resources, books and educational subscriptions

Music, drama, arts and cultural experiences

Workshops, visitors, trips and enrichment activities

Pupil wellbeing, inclusion and pastoral support

Outdoor and environmental learning

Whole-school activities and experiences

Projects and partnerships that directly benefit Coltishall Primary pupils
Every request must support FoCPS’s charitable purpose and show a clear benefit to pupils. We consider impact, inclusion, value for money and available funds.
Our focus is on enriching school life. We do not normally fund costs that are the school’s statutory responsibility, personal gifts without a clear charitable benefit, excessive hospitality or open-ended commitments without an agreed funding plan.
Funding cannot be used outside our charitable purpose or any conditions attached to a grant or donation.
Who can apply?
The headteacher, teachers, subject leads and other authorised school staff may submit requests. Class, subject and whole-school allocations may be agreed through our annual budget. These are maximum spending limits, rather than automatic payments, and the request process still applies.
How to request funding
Please submit a request before ordering, booking or committing any funds.
Complete the FoCPS Funding Request Form
Include:

What you would like funded and who will benefit

The total cost, including delivery and any ongoing charges

Supplier links or quotes

The expected benefit to learning, wellbeing or inclusion

When it is needed and any contributions from other sources
Please describe pupils’ needs without including children’s names or sensitive personal information.
Approval, ordering and payment

Submit your request. FoCPS reviews it against the agreed budget, charitable purpose and any funding restrictions.

Wait for written approval. Decisions are made by the trustees or through an approval process they have formally authorised. Requests may be approved, declined, deferred or returned for further information.

Arrange the order. Once approved, the school’s designated administrator normally places the order and requests payment from FoCPS, unless another arrangement has been agreed.

Keep supporting records. Invoices and receipts must be provided. For larger grants or projects, the school may also be asked for a short update showing how the funding was used and its benefit to pupils.
We are a volunteer-run charity and review requests as promptly as possible. Please allow time for approval and clearly flag any deadlines. Urgent approval cannot be guaranteed.
Using funds responsibly
We do not normally reimburse purchases made without prior written approval. Please contact us before changing an approved purchase or exceeding its agreed cost - info@focps.org
Funding remains subject to availability and agreed budgets at our AGM - Friday 18th September.
Trustees may review unspent allocations if circumstances change, taking account of any commitments already approved. Funds given for a specific purpose are tracked separately and used in line with their conditions.
